Services and Associated Fees

Digitization Overview

Digitization services are available to researchers to facilitate access while preserving our unique materials. This page outlines the fees associated with digitization services, depending upon format and use. All fees support the care and maintenance of collections.

To request a digital reproduction of materials, please email Special Collections & Archives staff must approve each duplication request via email.

If a digital copy is unavailable and/or we are unable to reformat in-house, staff will recommend outside reproduction professionals from our own list of vetted vendors. The researcher must agree to pay for all costs incurred in external digitization following the library’s reproduction standards, including shipping and postage. The fees incurred in digitizing are separate from the fees required to commercially use materials. Rush orders: Cost is doubled.

    • Internal Digitization Fees

      Non-commercial users of materials can apply for fee waivers as approved by Special Collections. If interested in applying for this waiver, please email

      DVD or CD deliverables of materials will add an additional cost of $10 per DVD or CD required to store the digital files. Files transferred via email, Dropbox or other web-based delivery system will incur no additional cost other than the below fees.

      Prepayment is required before file delivery. Checks and money orders are accepted and should be made payable to "Robert L. Bogomolny Library" with “Archival Maintenance Fund” written in the notation on the memo line.

    • Audiovisual Materials

      Audiovisual materials: Digitizing of open reel analog video formats, motion picture film, and highly degraded items must be sent to our preferred external vendor at the expense of the researcher. Costs are dependent on the original item’s format and condition.

    • Oversized Materials

      Architectural Plans and other oversized items must be sent to our preferred external vendor at the cost of the researcher. Duplicates of architectural blueprints will be provided in gray-scale and overall quality is dependent on the original. Architectural plans are duplicated on paper or as digital PDF files. Duplication to paper costs $185. Duplication to digital copy costs $185. Duplication to both paper and digital formats costs $210.

    • Lineage Society Records

      To obtain a copy of a membership application or supplemental application papers, please obtain written permission from the lineage society, provide the member's complete name and Society Number (the number appearing next to the member's name), along with your check or money order, made payable to: “Robert L. Bogomolny Library” with “Archival Maintenance Fund” in the memo line (checks not made out correctly cannot be cashed and will be returned, thereby delaying your request).

      The fee is $10.00 for members and $25.00 for non-members of the lineage society. Send your request, along with payment and a self-addressed envelope, to: University of Baltimore Special Collections & Archives, 1415 Maryland Avenue, Baltimore, MD 21201. Allow 2 weeks for a reply. For duplication of supplemental material, there is a base $20.00 fee to copy and mail the contents of a single file of up to 20 pages. Beyond the first 20 pages, there is a fee of $1.00 for each additional page. Parties interested in requesting duplication of material from the General Society of Colonial Warriors Collection should contact John Mealey, executive director at (410) 837-4266.

    • Use Fees

      Not-for-profit organizations and independent creators may use digital copies of materials at no charge. For all others, use of materials will incur the below one-time fees.

Researchers assume full responsibility for any infringement of copyright, publication, or third party rights belonging to the creator(s), their heir(s), or assigns. It is the responsibility of the researcher to obtain these permissions from creator(s) and/or their estates.

This institution reserves the right to refuse a reproduction order if, in its judgment, fulfillment of the order would violate copyright law.
